Correct ways to collect emails:

  • Sign-up form on website
  • Sign-up form on Social Media outlets
  • Sign-up sheet at events, booths, parties, etc.
  • Sign-up sheet at checkout.
  • Ask existing recipients to share your newsletter: Forward or post on social medias
  • Run a special/bonus for new email sign ups!
  • ASK PERMISSION!!

Wrong ways to collect emails:

  • Add everyone from your inbox
  • Pay for email lists
  • Collect business cards at networking/social events
  • Raid your friend’s inbox that forgot to log out of his/her account
  • Gather all the emails in your aunt’s forwarded email
  • Collect all the emails attached Social Media accounts

Get the idea? Collecting Email addresses the right way may be a slower process but people that want your emails, will receive them and you are less likely to marked as Spam! It will also better for your reputation - personal and business. What creative ways have you used (or heard of people doing) to increase your (their) email database - good or bad?

BBB Phishing

I got a letter from BBB saying I had a complaint from a client that I don’t have in a city I don’t work in. I contacted BBB and they gave me this email address to send the email to: [email protected].

Below is a letter I received after emailing the Better Business Bureau after forwarding the email to them.

Dear Consumer:

Thank you for forwarding this bogus email to the Council of Better Business Bureaus, Inc (CBBB). This suspicious email appears to be a new “phishing” attempt that fraudulently uses the BBB name. You can learn more about these phishing scams at http://www.bbb.org/us/article/email-phishing-scam-hijacks-bbb-name-again-36089.

You are strongly encouraged to run a complete virus scan on your system. And if you have downloaded any files associated with the email, you should delete them immediately.

Meanwhile, Better Business Bureau is working with our deactivation team to determine the level of threat this email poses and what further action is necessary.

Please note that you may have received an automatic reply indicating your email was not received by CBBB. This automatic reply is sent anytime an email which looks like spam reaches our servers. However, we did in fact receive your email.

Thank you once again for bringing this to our attention.

Spoofed Emails II

My passwords are pretty complicated, yet somehow I kept getting emails from “myself” selling Rolex watches. (Someone was spoofing my account.) I called my hosting provider and allowed them to access my email. They reviewed the information and blocked the IP address. To be on the safe side, yet again, I changed my complicated password to another complicated password and have yet to receive another email from “myself”.

Lesson learned, if changing your password doesn’t make you feel protected enough, contact your hosting provider and see about blocking the spoofers.

How to identify whether an email is real or spoofed ?

It can be done by checking headers. Email headers is simply the text which contains the information about the mail servers that the email encountered in its path from the sender to receiver. It contains a lot of other information too.
Note: I am just telling you a few points about this so that you would just get an idea about the approach. This may or may not depend on some factors.

We can view email headers in gmail by clicking at ‘show original’, in yahoo by clicking at ‘Full headers’ and such kinds of options in other email service providers.

If you get an email displaying sender’s email like [email protected], [email protected], [email protected] . Then it should be originated from gmail,hotmail and yahoo servers respectively. But if it doesn’t, the most probably the email would be fake.

I will show you by an example, I received three emails in my gmail inbox from sender’s address “[email protected].” Sender’s address shows me that they should have been originated from gmail/google server, if they would be real.

Note : There is a field called “Return-path” in headers. If the email ID shown in this field and email ID you get as sender’s email ID doesn’t match, then the email is surely fake.

Phishing Email

I have a PayPal account, but not with email address this was sent to!! One of the great things about Outlook and Outlook Express, is that you can see the links at the bottom of the email without actually having to click on it to see where it goes and what kinds of cooties it tries to give you! All you do is “hover” your cursor over the link.

Using Outlook or Outlook Express

Outlook and Outlook Express are both good programs to use for email. It’s especially great when you have multiple email accounts. Setting up all the accounts can be tricky but once it’s done, you are good to go. Let’s just say you have a Gmail account and a business account ([email protected]). The good news is that when using Outlook, if an email comes in from your business account, you reply and it leaves as your business email. If the email comes in through your Gmail account, when you reply, it leaves as a Gmail email.

There are many advantages to setting up and using Outlook. It’s a great time saver. Instead of having to sign into every account and checking them individually, you sign in once and check all of them at once.

If you want a back up of the emails, you have them on your computer and also you can have them on the servers they come from.

To set up your business account in Outlook, you need to contact your website/email provider and ask for instructions. The Web host determines what configurations you need is hosting the email accounts depends on what configurations you need.
